The Annual General Meeting is the time where we vote for next years committee, put through any constitutional amendments and pick the next semester’s shows!

 

When: Friday 3rd May, 5pm (time tbc)

Where: TBC

 

This is going to be a long message, but please do take the time to read it!

 

IMPORTANT INFO - PURPOSE OF MEETING

 

1. To vote in next semester’s shows

As normal, in semester 1 next academic year we will be putting on two shows, one in the Riley and one in Pyramid.

 

Production teams must be organised amongst yourselves must include for the proposal: a director, producer, musical director. 

 

At the time of proposal, it is not essential to have found co’s/assistants for all of the positions, but this will definitely have to be done by the time the rehearsal process starts. You can also include additional optional roles e.g. vocal coach or costume designers.

 

 

You are not allowed to audition for the show if you are also undertaking either of the director roles, the main producer, or the main musical director.

 

We have a google form for prospective prod team-ers, so if you’re interested in being on a prod team, please fill it out! If you’re trying to find other people for an existing prod team, let me know and I can share the responses with you.

You can check the society’s constitution, which I have attached, for more detailed guidelines on each prod team role and what is required of them. 

 

Similarly, you could ask the people who hold the roles on our current/past prod teams and I’m sure they’d be happy to help! 

 

You must check before proposing that the rights to the show are available to purchase. If you want more information on how to do this please have a look at the show pitch guide attached.

 

Your prod team must prepare a PowerPoint presentation of no longer than 10 minutes which will be delivered to the rest of the society members, telling us about your show and convincing us why we should vote your show in. The information included in this presentation can vary, but I have added a template for show pitches to use as inspiration. I would be more than happy to run through any of these with you before proposing and give you pointers (as I am impartial at the AGM and can’t vote). 

 

The rest of the society will vote anonymously on which show they want. There will also be an option to reopen the nominations (‘RON’) if you do not think any of the proposed shows deserve to be voted in.

 

Prospective prod teams must have emailed luumusictheatresociety@gmail.com by Wednesday 1st May at 9pm with the name of their show, which space they are proposing it for and the details of their prod team.

 

If you have any questions whatsoever, come to a prod team member or a committee member, we will be more than happy to help in any way we can - or even consult the constitution/guides.

2. To elect next year’s committee

We have the following roles available:

President

Secretary

Treasurer

Publicity

Comms

Welfare (max 2)

Social Secretary (max 2)

Sponsorship and Fundraising

Open Seat

(First Year Rep is elected at the December EGM every year so will not be in this election).

For welfare and social secs, the votes will be counted individually, not as pairs.

Unfortunately, due to the union’s regulations, only full-members students at the University of Leeds can be nominated, be a candidate, vote, and be elected into club and society committees (quoted from the union election guidelines). I’m so sorry if this is disappointing for some of our lovely non-uni-of members, but unfortunately this is out of control. 

You can still be on production teams and vote on the shows, as that is not run through Engage.

In the AGM, each candidate must give a speech of a maximum of 2 minutes telling the rest of the society why they’d be perfect for the role.

Each candidate must also find someone to be a ‘proposer’ and a ‘seconder’ for them. Each of these people must give a speech of a maximum of 1 minute explaining why they think the candidate would be perfect for the role. Each society member can only be a proposer or a seconder for one other person, and I, as President, am constitutionally not allowed to propose or second anyone.

The rest of the society will vote anonymously for who they want to elect. As with show proposal votes, there is also a RON option.

If you are running for a role, please email me your name, the role you are running for and the names of proposer and seconder by Wednesday 1st May at 9pm. Also, nominate yourself on Engage by this date.

3. To vote on any constitutional amendments which people might have proposed.

Last but not least, the AGM provides an opportunity for ANY society member to propose an amendment to MT’s constitution.

 

The rest of the society will vote anonymously on whether they think the amendment is a good idea, and it will be put into action if a majority is reached.

 

If you want to propose a constitutional amendment can you please email luumusictheatresociety@gmail.com by Monday 29th of April at 9pm with your full name and a description of the amendment you are proposing so that I can send them out for reading over before the AGM.
