The Secretary has a varied role that helps the society keep on top of the tasks they’ve got to complete, whether that’s keeping on top of industry relations or making sure the latest fridge-to-fridge is organised! The best way to do this is to keep a track of committee actions during meetings, and making sure that everyone is clear on what needs to be done. The Secretary is a flexible role and can help out on any committee members if they are particularly busy or need some support. They should be knowledgeable about committee roles, an active member of the society and proved they are organised and responsible. It is a core committee role and therefore we recommend that nominees have spent at least 1 year on a society committee. The Secretary, as for all committee members, should act as an ambassador of the society and the school as they interact with members, industry leaders and SoC staff. The position requires good communication and teamwork skills, working closely with the President and Treasurer to maintain the successful running of the society.
Responsibilities:
- Maintaining membership records containing at least the name and membership category of all the society’s members
- Producing agenda documents for all meetings, as well as writing up minutes and actions
- Following up on actions set in meetings with committee members
- Maintaining an up-to-date copy of the society constitution
- Ensuring society documentation is archived
- Ensuring only members are allowed to vote in society elections
- Ensuring clear & consistent branding across social media, website and emails
- Maintaining a professional online presence, including interactions with SoCS and industry
- Overseeing and helping the Social Media Officer and Website Development Officer in publishing content and advertising the society, developing the society website and overall online presence
- Assisting the president in the fulfilment of their duties
- Providing a managerial position overseeing the society committee
