ROLE OUTLINE:

The secretary basically does all the admin-y stuff. You have to be very good at communicating with all members of the committee, and ask the appropriate committee member to help with certain things (e.g. if you’re emailing someone about money, you need the treasurers help, or if you’re sorting out a gig, you need to check with the MDs that their group has enough material etc.). 

 

In audition week the Secretary is in charge of the Fresher’s Fair stall – making sure that there is always someone on the stall and available for any questions. Be sure that emails/contact information/phone number for the auditionees is written down and clearly legible. 

Making polls/events for gigs and checking that enough members on specific parts are available to make it work! 

EMAILS are another thing the secretary is in charge of. Most people who want us for gigs get in touch with us over email or Facebook messenger, so you have to be on it with these things. Emails can get lost and/or forgotten about so the best thing to do is just check the Gmail and Facebook pages once a day and reply to any outstanding emails ASAP. Always put emails into suitable tabs on gmail (2018/19 – Gigs/Events/ICCAs – create any new tabs you see necessary, organisation is key)

Taking minutes in each of the meetings. Be sure that there is an agenda for each meeting. 

Booking venues for big gigs throughout the year. The Church (arts@holytrinityleeds.co.uk or Left Bank) for the Christmas Concert. Helping to organise the Northern Showcase and making it bigger and BETTER (SNAC). The best way to contact smaller venues (Library Pub, Brudenell Social etc.) is either Facebook Messenger or an email from their website. 

Youtube channel needs to be more active!

The main thing about being the secretary is just keeping everything running smoothly, and keeping everyone in the know! Letting other committee members, particularly the president, know about emails, gigs, room changes etc. is essential. You need to get a notebook and/or a diary, and basically you should just always be aware of everything that’s going on with gigs, rehearsals, promo etc. In most situations you will be the main point of contact for organising gigs so you need to be on it with emails especially! IT’S A FAB JOB, very very satisfying and genuinely teaches you a lot about organisation and stuff.
