The Secretary/Vice President oversees ancillary units and supports the organisation's event planning and academic activities. Reporting to the President and working closely with the committee, the Vice President plays a central role in inviting speakers, booking rooms, and facilitating workshops and academic events to enhance member engagement and fulfil LPI's mission.
Key Responsibilities:
- Ancillary Unit Oversight: Lead and manage LPI's ancillary unit, including event coordination and venue booking.
- Record Keeping: Maintain accurate and up-to-date records of LPI's meetings, decisions, and activities. Write meeting minutes and other documentation to capture discussions, such as action items and follow-up tasks.
- Membership Coordination: Assist in managing LPI's membership database, including registration, renewals, and member communications.
- Documentation Management: Organise and maintain LPI's digital documents on Google Drive, structuring resources in an accessible manner. Ensure documents are available for reference as needed.
- External Relations: Assist in cultivating and maintaining relationships with external partners, sponsors, and collaborators. Coordinate communications, meetings, and follow-up activities to support partnership development and engagement.
- Administrative Support: Provide administrative assistance to the committee as needed, helping facilitate board meetings, workshops, and other group activities.
- Compliance and Governance: Ensure LPI's compliance with relevant policies, regulations, and guidelines set forth by Leeds University Union. Support the implementation of governance processes to uphold accountability and transparency.
- Continuous Improvement: Identify opportunities for streamlining administrative processes, enhancing communication effectiveness, and improving overall organisational efficiency. Provide feedback and recommendations for optimising LPI's operations and governance structure.
