The Dance Society Secretary is the backbone of the organization, ensuring smooth operation through efficient communication and meticulous record-keeping.

Responsibilities:

• Communication and Administration:
  • Manage all Dance Society email accounts, promptly responding to member inquiries and committee communication.
  • Craft and distribute clear and informative meeting agendas in advance of committee meetings.
  • Take detailed minutes documenting key decisions, action items, and next steps during meetings.
  • Maintain an up-to-date membership database, including contact information and membership status.
  • Oversee the society's social media platforms (if applicable), keeping members informed about upcoming events and society news.
• Documentation and Record Keeping:
  • Maintain accurate and organized records of all society activities, including financial transactions, event details, and meeting minutes.
  • Securely store and maintain key documents like the society constitution and committee member contact information.
  • Assist with the organization of paperwork for events, such as booking forms and risk assessments.
• Supporting the Committee:
  • Provide logistical support to the President and committee members.
  • Assist with tasks like booking rooms for meetings or events (if needed).
  • Help ensure a smooth execution of committee plans and initiatives.
