The Secretary shall help with administrative roles within the charity. They will organise the Google Drive and all the documentation, ensuring that it is up-to-date and well structured. They will take minutes at committee meetings and general meetings using the template provided and upload these to Google Drive. They will then work with the President to upload these as part of the History Log. They will then chase up a committee to ensure that they are on track to completing their allocated tasks. Finally, they shall assist with responding to the emails and messages MaS receives.”

They have a very strong emphasis on keeping the paperwork in order. They should be well acquainted with Google Drive and be able to use the software well. They need to make sure all documents on it and in the correct format, up to date and not duplicated and the drive itself is structured well.

At meetings, the Secretary will be responsible for taking minutes using the agenda template provided and uploading these to Google Drive. They will then add each action point to the History Log so that everyone is aware of what they need to do. As a part of this, they will need to make sure all committee members are making adequate progress towards their tasks prior to the deadline so that extra support can be given and the task is completed to a high enough standard before the deadline.

When events are organised, the Secretary should make sure the event is put on the Facebook group poll and in the calendar correctly.

Finally, they need to make sure they have a finger on the pulse of the Facebook page messages and the emails into the main account to either alert relevant parties and ensure they are responded to promptly. This task will be closely shared with the President and the Social Media Officer.
