The Secretary plays a crucial role in supporting the operations of the HR Society by maintaining accurate records, facilitating communication, and assisting with administrative tasks. This individual will work closely with the executive committee to ensure the smooth functioning of the organization and to enhance the experience of society members.

Responsibilities:

Record Keeping:

  • Maintain comprehensive and up-to-date records of society meetings, including minutes, agendas, and attendance.
  • Organize and archive documents, ensuring easy access for future reference.
  • Assist with the preparation and distribution of meeting materials as needed.

Communication:

  • Serve as a primary point of contact for internal and external inquiries, forwarding messages to the appropriate individuals.
  • Assist with the coordination of communication channels, including email, social media, and newsletters.
  • Collaborate with the executive committee to disseminate information to society members in a timely manner.

Event Support:

  • Assist the event planning team with logistical arrangements, such as venue booking, catering, and equipment setup.
  • Coordinate RSVPs and manage attendance lists for society events.
  • Provide on-site support during events, including greeting attendees and facilitating registration.

Documentation and Reporting:

  • Prepare reports, summaries, and other documentation as requested by the executive committee.
  • Maintain a repository of relevant documents, policies, and procedures for easy reference.
  • Assist with the compilation of feedback and evaluations following society events and activities.

Administrative Support:

  • Assist the executive committee with administrative tasks, such as scheduling meetings, managing calendars, and coordinating deadlines.
  • Collaborate with other officers to ensure alignment and coordination of activities.
