The Secretary is the backbone of the Civil Engineering Society’s operations, responsible for keeping everything organised, documented, and running smoothly behind the scenes. This role suits someone who is detail-oriented, reliable, and excellent at time management.
As Secretary, you will:
- Organise and coordinate all committee meetings, including scheduling, preparing agendas, and circulating reminders to members.
- Take detailed minutes during meetings, documenting discussions, decisions, and action points, and ensure they are shared promptly with the committee and stored for future reference.
- Maintain accurate records of the society’s activities, membership details, and important documents such as constitutions, event risk assessments, and correspondence with external organisations.
- Ensure smooth communication within the committee by sending out regular updates and keeping everyone informed of deadlines, responsibilities, and ongoing tasks.
- Support event planning and logistics, such as booking rooms, managing sign-ups for events, and preparing documents or forms needed for Union approval.
- Handle email correspondence with members, staff, and external partners, ensuring professional and timely responses on behalf of the society.
- Assist with LUU admin tasks, such as completing required documentation for event approvals, society finance forms, or Annual General Meetings (AGMs).
- Help oversee society elections and transitions, including managing nominations, voting processes, and the official handover to the next committee.
